Security & confidentiality

How we protect your drawings, tenders and company records.

Your files

• Each upload runs in its own sealed job folder and is deleted automatically after 24 hours.
• Company records you send for a Bid Pack (the company file) are deleted immediately after the run.
• Uploaded tenders are removed as soon as the results are produced.
• Your files are never used to train any AI system and never shared with another client.

Avantrova Connect (email, WhatsApp, files)

• Runs on your own server or PC — your mail and files do not leave your company.
• Read-only access, limited to the project mailboxes and folders your IT team chooses. Passwords and keys are never stored in files.
• Confidential content (HR, salaries, legal, bank, personal data) is locked: kept as a summary line only and visible to top management only.
• Each department sees only its own items. Nothing is sent on your behalf until you switch sending on.
• A tamper-evident audit log records every read, write and message; it can be verified at any time.
• Message storage is encrypted and purged after the period you choose (default 90 days).

Our engines

• Your drawings and files are processed only by Avantrova's own secure systems — they are never sent to outside AI services. To run the business we use a small number of providers: website hosting (Netlify), email delivery for notifications, and payments (Razorpay). None of them receive your drawings.
• Anything added to our knowledge library is anonymised first: roles only, never names, projects or locations.

Who can see your files

• Only our automated system. Our team opens a file only when you ask for support, and every access is logged.

Privacy laws and breaches

• We follow the principles of the GDPR, the UK GDPR and India's Digital Personal Data Protection Act 2023 — see our Privacy page.
• If a security incident ever affects your data, we tell you within 72 hours.

Agreements

A confidentiality agreement (NDA) and a data processing agreement are available for every company client: what is processed, where, for how long, who can see it, breach notification and deletion when you leave.
